How to use this

Preparing for a SAP FICO interview

Interviewers for fresher roles test fundamentals and whether you have used the system. Understand each answer instead of memorising it, and be ready to say how you would do the task in the system. If you have not practised on SAP, say so honestly and explain what you have learned. Answers below are written for S/4HANA unless stated.

Questions

24 SAP FICO questions with answers

  1. What is a company code?
The smallest organisational unit for which a complete, self-contained set of accounts can be drawn up. Legal financial statements such as the balance sheet and profit and loss statement are produced at company code level.
  2. What is the difference between a company and a company code?
A company can group one or more company codes, mainly for consolidation. Each company code has its own books, currency and fiscal year settings.
  3. What is a chart of accounts?
The list of general ledger accounts used by one or more company codes. The operating chart of accounts is assigned to a company code, and a country chart can support local legal requirements.
  4. What is a fiscal year variant?
It defines the posting periods in a fiscal year, including special periods, and whether the year follows the calendar year or another cycle. The Indian financial year runs from April to March.
  5. What is a posting period variant?
It controls which posting periods are open for postings, by account type, so that finance can close periods and prevent back-dated entries.
  6. What is a field status group?
A setting on the GL account that controls which fields are required, optional, hidden or display-only when you post to that account.
  7. What is a document type and what does it do?
A document type classifies accounting documents, for example vendor invoice, customer invoice or journal entry. It controls the number range and the account types allowed.
  8. What are posting keys?
Two-digit keys, such as 40 for debit and 50 for credit GL postings, that decide whether a line is debit or credit, the account type and the field layout. In S/4HANA you rarely see them in daily work, but they are still used.
  9. What is a reconciliation account?
A GL account that is automatically updated when you post to a vendor or customer. It links the subledger (accounts payable or receivable) to the general ledger.
  10. What is the difference between a parked document and a held document?
A parked document is saved in the system for review or approval and can be completed by another user. A held document is saved by the same user and is not visible to others for completion.
  11. What is the automatic payment program?
The payment run, transaction F110, selects open vendor invoices that are due and pays them according to the configured payment methods, bank accounts and payment terms.
  12. What is the dunning program?
Transaction F150 runs the dunning process, which sends reminders to customers with overdue invoices, with escalating dunning levels.
  13. What is the difference between a cost centre and a profit centre?
A cost centre collects costs for a department or location. A profit centre measures the performance of a business area by combining revenue and costs.
  14. What is an internal order?
A CO object used to collect costs for a specific job, event or project, and often settled to a cost centre, asset or other receiver at period end.
  15. What is CO-PA?
Profitability Analysis, which analyses revenue and margin by dimensions such as product, customer and region. S/4HANA uses margin analysis based on the Universal Journal.
  16. What is the Universal Journal?
In S/4HANA, the single table ACDOCA that stores FI and CO line items together, removing the need to reconcile separate FI and CO data.
  17. What replaces the customer and vendor master in S/4HANA?
Business Partner, where a single partner can have customer and vendor roles.
  18. What is document splitting?
A function that splits line items by characteristics such as profit centre or segment, so that balance sheets can be produced for those dimensions.
  19. What is an asset class and what are depreciation areas?
An asset class groups similar assets, such as machinery or computers, and holds default settings. Depreciation areas allow the same asset to be valued differently for books, tax and other purposes.
  20. How do you clear an open item?
Using incoming or outgoing payment clearing, for example transaction F-28 for customer payments or F-53 for vendor payments, or manual clearing for specific accounts such as F-03.
  21. What is GR/IR and how is it cleared?
A clearing account between goods receipt and invoice receipt. It clears when the invoice is posted against the goods receipt. Items that stay open are reviewed at period end.
  22. What is foreign currency valuation?
A period-end process that revalues open foreign currency balances at the closing exchange rate and posts unrealised gains or losses.
  23. What are the period-end activities in FICO?
Typical steps are accruals, depreciation run, foreign currency valuation, allocations, GR/IR review, settlement of orders and closing the posting periods.
  24. How does FICO integrate with MM?
Goods receipts and invoice receipts create accounting documents through automatic account determination, using valuation classes and transaction keys such as BSX and WRX. See our integration guide.
  25. How does FICO integrate with SD?
Billing documents post receivables and revenue, found through account determination. Goods issue posts the cost of goods sold.
